Privacy Policy
Last updated: 26 October 2026
This policy explains what personal information Oyetu Cloud collects, why we collect it, and what we do to protect it. We have tried to write it in plain language. If anything is unclear, contact us and we will explain.
1. Who we are
Oyetu Cloud is a service of Oyetu Network CC, a business based in Namibia ("Oyetu", "we", "us"). We provide web hosting, domain services and managed BigCapital accounting software.
Registered address: 2487 Skipper Street, Narraville, Walvis Bay, Namibia
Email: info@oyetu.org
WhatsApp / phone: +264 83 679 8776
2. What information we collect
Information you give us
- Account details: your name, business name, email address, phone or WhatsApp number, and password (stored in scrambled form, never as plain text).
- Order details: the plan you choose, domain names you register or transfer, and the payment reference you use.
- Payment confirmation: we accept payment by mobile wallet (for example FNB eWallet). We see the payment reference, amount and the name or number it came from. We do not collect or store your card or bank login details.
- Messages: anything you send us by email, WhatsApp, a contact form or an advertising enquiry form.
Information collected automatically
- Website use: pages visited, device and browser type, approximate location and similar technical data, collected through cookies and similar tools (see section 6).
- Server logs: IP addresses and technical records that help us keep services secure and running.
Advertising enquiries
If you respond to one of our ads on Facebook or Instagram, or message us on WhatsApp, we receive the details you submit, such as your name, contact details and what you are looking for. We use them only to reply to you.
3. How we use your information
- To create your account, set up your hosting or BigCapital instance, and keep it running.
- To confirm payments and manage your subscription.
- To contact you about your service: setup, maintenance, billing, security notices and support.
- To answer enquiries and help you choose a plan.
- To keep our systems secure, prevent abuse and fix problems.
- To understand how people use our website, and to measure and improve our advertising.
- To meet our legal, tax and accounting obligations.
We do not sell your personal information.
4. Your own data on our servers
If you use our hosting or BigCapital services, you will store your own content and business records on our servers, such as website files, emails, customer lists, invoices and financial records.
That data belongs to you. We store and back it up only so that we can provide the service you pay for. We do not read it, use it for marketing or share it, except where it is strictly necessary to run and secure the service, to follow the law, or with your permission. For example, our staff may need to access your instance to fix a fault you report.
You are responsible for the content you store and for having the right to hold any personal information about your own customers.
5. Who we share information with
We only share information with people and companies that help us run the service, and only what they need:
- Infrastructure and backup providers that host our servers and store offsite backups. Our servers are hosted by Shock Hosting in Johannesburg, South Africa.
- Domain registrars when you register or transfer a domain, as the registry requires certain contact details.
- Email and messaging tools we use to send you account emails and talk to you on WhatsApp.
- Advertising platforms such as Meta (Facebook and Instagram). If you accept cookies, Meta receives information about how you use our website (see section 6). Meta also handles your interaction when you contact us through one of our ads.
- Authorities where the law requires it, for example a valid court order.
Some of these providers may store information outside Namibia. Where they do, we take reasonable steps to make sure your information is still protected.
6. Cookies and similar technologies
Cookies are small files that a website saves in your browser. We use:
- Essential cookies: to keep you signed in and keep the site working.
- Preference storage: a small browser setting that remembers your answer to our cookie notice.
- Meta Pixel (only if you accept): a tool from Meta that records visits to our website and a few actions, so we can see whether our Facebook and Instagram ads work and show them to relevant people. It records the pages you view, whether you create an account, start checkout or place an order (including the plan and the amount), and clicks on our WhatsApp button. We do not send your password or payment details to Meta. It stays switched off unless you click Accept on our cookie notice.
You can block or delete cookies in your browser settings. Some parts of the site, such as signing in, may not work without essential cookies.
You can say no to the Meta Pixel by clicking Decline on our cookie notice. You can also manage how Meta uses information for ads in your Facebook and Instagram ad settings. Meta explains its own practices at facebook.com/privacy/policy.
7. Backups and security
We take reasonable technical and organisational steps to protect your information, including regular system and security updates, access controls, and automated offsite backups. Backups are stored in a separate secure location.
No system is completely secure. If we become aware of a breach that affects your personal information, we will tell you without unreasonable delay, as required by law.
8. How long we keep information
- Account and billing records: for as long as you are a customer, and afterwards for 5 years to meet tax and accounting requirements.
- Enquiries from people who do not become customers: up to 3 months, then deleted.
- Hosted content and backups: kept while your service is active. After cancellation or non-payment, we keep your data for 30 days so you can collect it, then permanently delete it, including from backups as they cycle out.
9. Your rights
You can ask us to:
- tell you what personal information we hold about you;
- correct information that is wrong or out of date;
- delete your information, where we are not legally required to keep it;
- stop contacting you for marketing.
Email info@oyetu.org and we will respond within a reasonable time. We may need to confirm your identity first so that we do not give your information to the wrong person.
10. Children
Our services are for businesses and adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.
11. Links to other sites
Our website may link to other sites, such as payment or social media pages. We are not responsible for their privacy practices, so please read their policies.
12. Changes to this policy
We may update this policy from time to time. When we do, we will change the "last updated" date at the top. If the changes are significant, we will let account holders know by email.
